Reporting to the Provost and Senior Vice President for Academic Affairs, the Temporary Executive Assistant provides high-level confidential and administrative support to the Provost, Associate Provosts, and the Office of Academic Affairs, as well as fiscal support for the Academic Deans. Duties also include considerable contact with faculty, administrators, staff, students, and guests of the University.

Responsibilities include:

  • Exercise discretion at the highest-level while being trusted with sensitive and confidential  information.
  • Coordinate the day-to-day operation of the office. Answer main phone line and greet walk-in visitors, and serve as a contact for faculty, staff, students, parents, alumni and off campus community inquiries. 
  • Draft, prepare, and distribute final versions of documents, spreadsheets, and reports as instructed.
  • Coordinate meeting logistics including room reservations, catering, transportation (ground/air), and accommodations as necessary.
  • Manage travel arrangements for provost and associate provosts.
  • Process voucher, travel reimbursements, deposits, and other financial transactions. Reconcile departmental budgets and purchasing cards. Help support the budgets of the provosts and academic deans as needed.
  • Other duties as assigned.

This is a temporary, on-campus position working up to 37.5hrs per week. 

MINIMUM QUALIFICATIONS:

  • Associate's degree and a minimum of five years of experience in administrative assistant, executive assistant, project coordinator, or similar role or an equivalent combination of education, training and experience.  
  • Excellent communication, interpersonal, organizational and presentation skills.
  • Proven ability to handle multiple assignments in a fast-paced environment while maintaining  deadlines and a high standard of customer service.
  • Ability to interact effectively with all members of a diverse academic community.
  • Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.
  • Excellent judgment and creative problem-solving skills, along with the ability to work under pressure and meet deadlines.
  • Demonstrated proficiency with PC or Macintosh systems.
  • Advanced Microsoft Office, Adobe, and web management skills.

PREFERRED QUALIFICATIONS:

  • Experience supporting an executive in a higher education environment.
  • Demonstrated ability with database management systems.
